Abstract
As project leaders plan large, transformational initiatives, impacted departmental leaders are often forgotten. Operational leaders are in need of a practical, concise guide to prepare for project activities and allocate resources. The Plummer Project change management team of Mayo Clinic created a single source of timelines and tasks with links to more detailed information, termed a ‘playbook’ for operational leaders. The tool was dynamic and provided the operations-relevant project timeline, required preparedness activities and essential references. This paper analyses the format and content of this playbook to assist other organisations with the execution of complex projects. The playbook provided clarity, efficiency and cohesiveness with deep benefits to the project team and organisation.

Author's Biography
Suzanne Nelson MS, is a senior health systems engineer in the Department of Management Engineering and Internal Consulting (ME&IC) at Mayo Clinic. She has 22 years of experience in healthcare. She has supported revenue cycle and clinical workflow design and system requirement efforts, as well as IT implementations and upgrades. She has successfully co-led the Rochester change management efforts for the largest single-system go-live transition in the history of Mayo Clinic for more than 26,000 employees. Suzanne holds a bachelor’s of business administration and management as well as a master’s of science in project management. She is certified in EpicCare Ambulatory and CPHIMS and is a certified Prosci change management practitioner.
Jason E. Barclay M.H.A., PMP, is a senior project manager in the Department of Management Engineering and Internal Consulting (ME&IC) at Mayo Clinic. He is responsible for planning and executing institutional strategic and priority projects and has more than 15 years of experience in healthcare and retail information technology. He served as the Enterprise and Rochester Project Manager for change management readiness activities on one of Mayo Clinic’s largest initiatives to implement a single-system electronic health record. Jason holds a bachelor’s of science in management information systems and a master’s of arts in healthcare administration. He is a certified Prosci change management practitioner and a project management professional from Project Management Institute (PMI).
Richard J. Gray MD, is a surgical oncologist and Professor of Surgery who served as co-chair of the Mayo Clinic Plummer Project and physician adviser to the Plummer Project change management team. He performs multiple leadership roles within the Mayo Clinic Cancer Center and has won numerous awards, including Mayo Clinic Distinguished Educator. He has published 130 peer-reviewed manuscripts and numerous book chapters.
Jan C. Jasperson is a section head in the Department of Management Engineering and Internal Consulting (ME&IC) at Mayo Clinic. She is responsible for driving short-term and long-term strategic and operating plans that support Mayo Clinic’s strategic plan. Currently, she leads a large team of health systems engineers and project managers on one of Mayo Clinic’s largest initiatives to transition to a single-instance integrated electronic health record and revenue cycle management system. Jan is partnering with internal and external consultants to create the framework and lead the change management and communications efforts necessary to support change readiness activities for this transformational project. Previously, she worked in the neurological and neurosurgical intensive care unit as a registered nurse and nurse manager within the Department of Nursing at Mayo Clinic. She has been appointed Assistant Professor of Health Care Systems Engineering in recognition of her scholarly activities for Mayo Clinic. Jan is a member of HIMSS, has presented at local and national conferences, held the position of adjunct faculty at Saint Mary’s University and published in peer-reviewed journals on clinical topics in the field of neurology and neurosurgery as well as in the area of electronic health records.
Karen J. Reinschmidt MS, is a senior health systems engineer in the Department of Management Engineering and Internal Consulting (ME&IC) at Mayo Clinic. She has more than 30 years of experience in healthcare documentation, clinical operations, quality and process improvement. In her current role, she supports the clinical practice on strategy, business operations, patient safety improvement projects and Epic (EHR/RCM) implementation and change management initiatives. Karen is a certified Prosci change management practitioner and lately led the provider adoption strategy for Mayo Clinic’s Epic implementation. She holds a bachelor’s of science in management and a master’s of science in health information management.
